What is a quotation?

A quotation, or quote, is a document that tells a customer what you will charge for specific goods or services and on what terms. It is sent before the sale. If the customer accepts, the quotation becomes the basis for the invoice.

What to include in a quotation

  • Your business name, address and GSTIN, and the client's details
  • A quotation number and date
  • The items or services with quantity, rate and GST
  • The total payable including taxes
  • A validity date after which the price may change
  • Payment terms, delivery timeline and other conditions

Create a quotation in four steps

  1. Create the quotation. Pick the client, add items and set a validity period.
  2. Share it. Download the PDF or send a private link by WhatsApp or email.
  3. Track the response. Mark it accepted or rejected.
  4. Convert to invoice. One click creates a draft invoice with everything carried over, and the quotation is marked as converted.

Frequently asked questions

What is the difference between a quotation and an invoice?

A quotation is an offer that states the price and terms before the sale and is not a demand for payment. An invoice is issued after the sale or delivery, asks for payment and is the document used for GST. Hostspica Bills lets you convert a quotation into an invoice.

Does a quotation need GST details?

It is good practice to show the GST rate and amount so the client sees the final payable price. Hostspica Bills calculates CGST, SGST or IGST on quotations the same way as on invoices, with prices including or excluding GST.

Can I set how long a quotation stays valid?

Yes. Choose a validity period such as 7, 15 or 30 days, or pick a custom date. The valid-until date is printed on the quotation PDF.

Can I create quotations and turn them into invoices?

Yes. Create a quotation with a validity date, share it with the client, and convert it into an invoice in one click. Items, prices, taxes and notes carry over, and the quotation is marked as converted.
